What TradePA is, and what it costs

TradePA is an app for UK trades, including cleaners, that does your admin while you talk. Say the job and it writes the quote, drafts the invoice, books it in the diary and writes the reminder when someone hasn’t paid. It gets the finished job signed off on your phone too. £10 a month, two weeks free.

Say it on the way to the next one

What you say, and what you get back

A TradePA quote coming back on the phone, ready to send

You say

“Quote Mr Patel forty a visit for the lawn, hedges and beds at 30 Ashford Road.”

A £216 itemised quote with VAT and your logo on it. You preview your quote to make sure you are happy, before sending to your customer by text, WhatsApp or your own custom branded email.

The TradePA Quote Helper showing a bathroom priced up with the profit on it

You say

“What should I be charging for the fortnightly cut at 14 Oakhurst Drive?”

Quote Helper shows what the job costs you and what your expected profit would be, allowing you to quote with ease based on your own cost and pricing data. Products, time on site, travel, labour, each with your costs versus what you charge your customer. You see the margin before you send it, not after the job is done.

A TradePA invoice drafted on the phone, ready to preview and send

You say

“Ashford Road is done and she has signed it off. Invoice her the one hundred and eighty.”

Your PA updates that job and drafts the £216 invoice, ready for you to preview and send.

The TradePA PA listing what is still unpaid

You say

“Who still owes me?”

Your PA already knows. Every invoice you have sent, what has landed and what has gone past its date. Your Trade PA writes the reminder and you tap send. Nothing goes to your customer that you have not okayed.

The paperwork

The same gardens, every fortnight, and every visit needs a record

One weekly customer is fifty-two invoices a year, and none of them is worth an evening of typing. Say the job is done and your PA drafts that invoice against that customer and that address, with your name and colours on it. The ones that have not been paid stay on a list you can actually see, instead of in your head.

52

Invoices a year on a single weekly customer. Ten of those and it is a part-time job on its own. Say the job is done as you lock up and the invoice is drafted before you are at the next one, with a card link on it so they can pay without you asking twice.

The sign-off

You talk to your PA, it writes the job sheet. Ready for them to sign.

01

It fills itself in

Your PA already has half of it

Pick the job and the customer, and the address and the work you logged come straight off it. Your PA asks you for whatever is missing and you answer as you would to a real person. The job sheet fills itself in as you talk.

02

Signed both ways

You sign it, then your customer does

You sign the job sheet where it needs it. Your customer can sign in person on your phone, or you email them a copy to sign on theirs. Once they have signed, the signed copy comes back onto the job for your records.

03

Kept for next time

It all stays on the job

Anything that comes back round, like a customer who books you every year, your PA keeps a note of. When it is coming up for renewal it tells you, so you can get it booked back in before your customer has to ask.

The questions gardeners ask us

Fortnightly rounds, the green waste, and one invoice at the end of the month.

Green waste & the tip

What a commercial client asks for, and the bits TradePA honestly covers.

Does it know my round?

Every garden is its own job with its own address, and the jobs list searches title, notes and address, so pulling up 7 Hillcrest takes a second. Book the visits in the diary and the fortnight is there in order.

Can I price per visit and bill once a month?

Yes. Quote the visit rate and the number of visits as one line, then invoice monthly off the same job. “Cut, edges and hedges, fortnightly” is one line and the spring tidy is another.

Does it remind me which gardens are due this week?

No, and we’d rather say so. TradePA sets automatic annual reminders only for work it recognises as yearly — gas safety, PAT testing, EICR and the like. A fortnightly cut isn’t on that list. You book the visits in the diary and it pings you about an hour before each one.

Do I need a waste carrier registration for the green waste?

Depends what’s in the trailer. Clippings, prunings and turf off your own jobs put you in the lower tier, which is free and doesn’t expire. Start carting away rubble or a dug-out patio and that’s upper tier. Either way, log the tip run as an expense against the job so the fee comes off your tax.

Can I quote a one-off clearance from the van?

That’s the point of it. “Hey Cara, quote Mrs Beaumont three hundred and eighty for the clearance at 7 Hillcrest, two trips to the tip.” It writes it on your own template with your logo. You read it, you send it. It never sends anything on your behalf.

Quoting

A garden gets priced per visit and paid per month, or on the day if they’re in. That’s the awkward bit.

Will it store my risk assessments?

It isn’t a document library, it won’t write your risk assessment and it won’t hold your insurance certificate. Keep those where your commercial clients can get at them. What it holds is the job: the address, the notes, the photos and the dates you were there.

Can the customer sign a clearance off?

Yes. Job Completion Sign-off needs no scheme membership. You sign, hand them the phone, they sign, and out comes a PDF with both signatures plus your business details, insurer and policy number in the footer. Handy on a clearance, where “done” is a matter of opinion until somebody signs.

I’m not a sparky. Is half of this wasted on me?

Some of it, and we’d rather say so than sell you a dream. The gas and electrical certificates stay locked unless you’ve got the scheme number, so they sit there greyed out. What you’ll live in is jobs, contacts, the diary, quotes, invoices and who still owes you.

How do I quote a cut only versus cut, hedges and beds?

Separate line items on the same quote, each with its own price. Put what’s excluded in the notes box — the customer sees it on their copy, which is where the argument about the ivy gets settled before it starts.

Do I find out if they’ve read the quote?

There’s an open counter on every quote, and your own previews don’t count. If a sent quote goes five days without a reply it turns up on your task list with a nudge already drafted.

Money & the day

The honest version of how the money side works on a round.

Eight gardens in a day. What about the mileage?

It can work your business miles out from the addresses already in your diary, first stop to last and home, at 45p a mile for the first 10,000 miles in the tax year and 25p after. It’s off by default and nothing is logged until you confirm the day.

Half of them say “pay you next visit”. How do I keep track?

Every invoice carries a due date from the terms you set once — on receipt, 7, 14 or 30 days. Who’s late shows up on its own, with the reminder written, so it stops being a conversation over the fence.

Can they pay by card at the door?

Yes. Send a payment link from the invoice and they pay on their phone while you’re loading the mower. Card payments from your own customers run through Stripe Connect, separately from your TradePA subscription.

Do I have to remember what I charge for everything?

No. Your Materials is your price list: the cut, hedge per metre, a bag of bark, the tip run, each with what it costs you and what you charge. Anything you price on a job feeds back into the list.

What’s it cost, and what’s the catch?

£10 a month, one plan, no tiers, no contract, cancel from your account whenever you like. Two weeks free and no card needed. It’s on iPhone and Android, live on the App Store and Google Play.

One plan. The whole app.
