The £637 that's three weeks late? TradePA puts it on your list, writes the polite version, and you send it in one tap. You never have to find the words.

Chasing money, minus the awkward bit

What trades ask before they let a PA do the chasing.

    When and what

When to send, what to say, and which way to send it.

When should I chase an unpaid invoice?

The day after it falls due, and politely. Most late payments are someone forgetting, not someone refusing. A firmer note a week on, and a phone call at a month. TradePA notices the moment an invoice goes overdue and asks you: this one hasn’t been paid, shall I remind them?

What should the first reminder say?

The invoice number, the amount, when it was due and how to pay, in two lines. No apology, no threat. TradePA drafts it in your name, headed “Just a friendly reminder”, with the payment link already in it, so paying is one tap.

    Text, WhatsApp or email?

Whichever the customer actually reads. Homeowners answer texts and WhatsApp; letting agents and firms want email for their records. TradePA offers all three every time you send, so you choose per customer, not per app.

    The awkward bits

Chasing a good customer without it turning into a row.

How do I chase without falling out with a good customer?

Let the reminder come from the system rather than from you. A note sent through TradePA reads as the paperwork doing its job, and you stay the one they like. If it needs a human touch, ring them; the app steps aside.

What if they say they never got the invoice?

Send it again from the job. The same invoice goes out by text, WhatsApp or email with the same payment link, and it stays on the job with its reminders, so there is no argument about what was sent.

Can I charge interest on a late invoice?

If the customer is a business, yes: the Late Payment of Commercial Debts (Interest) Act 1998 allows 8% over the Bank of England base rate plus a fixed sum of £40, £70 or £100 depending on the invoice size. For a homeowner you can only charge what your terms said up front. Our late-payment guide has the sums.

    When it gets serious

The paperwork half of the business, done while you’re still on site.

When do I stop chasing and take it further?

Once you have rung and been ignored and at least 30 days have passed. Send a short letter before action giving them seven days, then use Money Claim Online for anything under £10,000. Nine times out of ten the letter is enough.

What paperwork do I need if it goes to a claim?

The quote they accepted, the invoice, and every reminder with its date. TradePA keeps all of it on the job, so the evidence is a scroll through one screen rather than a hunt through your texts.

Should I take a deposit so I’m never chasing the lot?

Yes, on anything with materials in it. Ask for it on the quote and take it by card or bank transfer through the app, so the job starts part-paid. Our deposit guide covers how much to ask for.

    One plan. The whole app.
