Quote the system swap before you leave.
You send the quote or invoice straight to their phone by text or email. It opens as a proper document with your name and colours on it, and they pay however you take it: card, bank transfer or cash. Easy for you to send, easy for them to pay.

What TradePA is, and what it costs
TradePA is an app for UK trades, including heating engineers, that does your admin while you talk. Say the job and it writes the quote, drafts the invoice, books it in the diary and writes the reminder when someone hasn’t paid. It carries your gas safety records and job sign-offs too. £10 a month, two weeks free.
The whole app. Every feature, no add-ons, and it does not go up when the work does.
No card, no contract. Put a real job through and see how TradePA can change your business.
Gas Safety (CP12), Smoke & CO test and Job Completion Sign-off, filled in on the phone and signed on site.
Say it from the airing cupboard
What you say, and what you get back

You say
“Quote Mr Ellis four and a half thousand for a system swap at 9 Marlow Drive. Seven rads and a cylinder.”
A £5,400 itemised quote with VAT and your logo on it. You preview your quote to make sure you are happy, before sending to your customer by text, WhatsApp or your own custom branded email.

You say
“What should I be charging for the powerflush at 3 Kingsway?”
Quote Helper shows what the job costs you and what your expected profit would be, allowing you to quote with ease based on your own cost and pricing data. Pump, chemicals, time on site, labour, each with your costs versus what you charge your customer. You see the margin before you send it, not after the job is done.

You say
“Annual service done at 3 Kingsway. All fine. Invoice him ninety plus VAT.”
Your PA updates that job and drafts the £108 invoice, ready for you to preview and send.

You say
“Who still owes me?”
Your PA already knows. Every invoice you have sent, what has landed and what has gone past its date. Your Trade PA writes the reminder and you tap send. Nothing goes to your customer that you have not okayed.
The paperwork
The heating comes with a filing cabinet attached
A landlord gas safety record every year on a rented property, and the tenant has to have a copy. A smoke and carbon monoxide test recorded when you fit one or check one. A sign-off the customer puts their name to when the system is finished and running. All of it signed, dated and kept.
12 months
How often a rented home needs a gas safety check, and the tenant has to have a copy within 28 days. Miss one and it is the landlord who carries it, which is exactly why letting agents keep ringing you for last year’s copy. Thankfully, your PA keeps a record of every certificate you issue, filed automatically against the job and the customer it belongs to.
Certificates
You talk to your PA, it does your certificates. Ready for you to sign.
01
It fills itself in
Your PA already has half of it
Pick the job and the customer, and the address and the work you logged come straight off it. Your PA asks you for whatever is missing and you answer as you would to a real person. The certificate fills itself in as you talk.
02
Signed both ways
You sign it, then your customer does
You sign the certificate where it needs it. Your customer can sign in person on your phone, or you email them a copy to sign on theirs. Once they have signed, the signed copy comes back onto the job for your records.
03
Remembered for next time
Your PA knows when it is due again
Anything that comes round on a cycle, like a landlord gas safety check or an annual service, your PA keeps a note of. When it is coming up for renewal it tells you, so you can get it booked back in before your customer has to ask.
The questions heating engineers ask us
The CP12, the install quote, and the money.
CP12 & Gas Safe
It holds your Gas Safe number, writes the record on site, and puts the rebook in the diary a month early.
Can TradePA actually do a CP12, or just store one?
It does the real thing. The Landlord Gas Safety Record is one of the certificates it issues properly: appliance by appliance, your signature drawn on the screen, a real certificate number and an A4 PDF. There’s a Scan plate button that reads the make, model and flue type off the data plate, and an All checks pass button for a clean appliance. Done the same landlord last year? It offers to copy every field except the dates. What a CP12 has to carry is in the glossary.
What if I’m not on the Gas Safe Register?
Then you can’t issue it, and TradePA won’t let you. Gas work in this country has to be done by a Gas Safe registered engineer, which took over from CORGI back in 2009. Put your registration number in About You and the CP12 comes alive. Leave it blank and it sits there greyed out with a padlock on it, which is the right answer.
How do I not miss next year’s gas safety check?
You don’t have to remember it. Book a gas safety check or a boiler service in the diary and TradePA recognises it as annual work, then drops a reminder in eleven months later. That’s a month before the anniversary, so you’ve got a window to ring them before the landlord’s certificate runs out. Nothing to switch on. Same for an annual service, OFTEC or a HETAS appliance.
How long has the landlord got to get the record to the tenant?
Twenty-eight days from the check. New tenants get a copy at the start of the tenancy, and the landlord has to keep copies for two years. The check itself is annual. Your bit is getting the record to them the same day, so write it on site, tap send, and it goes out of your own email or messages with the date on it.
Does it fill in the Benchmark or notify Building Regs?
No, and don’t let anyone tell you different. Benchmark is the checklist in the back of the boiler manual and the notification goes through your own Gas Safe account. Both stay with you. What TradePA holds is everything round them: the CP12, the quote, the photos of the flue run, the readings you noted, the invoice, and next year’s service already sat in the diary.
Quoting
Say the swap on the drive. Read it in the van. The first quote in usually wins it.
How do I get a boiler quote out the same day I look at it?
Tell your PA on the way to the van. “Hey Cara, quote Mrs Doyle for a combi swap, twenty-six fifty fitted, plus a magnetic filter at one eighty.” It writes the quote on your own template with your logo on it while you’re driving. You read it at the next job and tap send. Landing that evening instead of the Sunday after is usually the whole difference. For the going rate, see how much to charge to install a boiler.
Can I put three boiler options on one sheet?
Yes, they’re just lines. Say all three prices and it writes them onto the same quote. Anything you don’t like you change on the preview: the wording, the price, the quantity, the notes. Add a photo of the existing flue and the old system to the job while you’re there, so you’ve got a record of what you were quoting against.
Can I tell if they’ve even opened it?
There’s an eye icon with a count next to the quote on the job page, showing how many times the customer has opened it. Your own previews don’t count towards it. Opened four times and no reply is a phone call. Never opened at all is a completely different phone call.
They’ve added the rads. Do I start again?
No. Change the lines and it saves a new version rather than writing over the old one, so what you first quoted isn’t lost. The customer’s link always shows the latest. That’s your answer to “I never agreed to that” six weeks later when you’re asking for the balance.
Does it send the quote for me?
Yes. You tap send and it goes out by text, WhatsApp or email — in your branding, right down to the colours on the email itself. Nothing gets sent behind your back: you read it first and decide when it goes. And because it goes from the app, you get told when the customer opens it, and again when they pay. Reminders work the same way — written for you, sent when you say so.
Money & the day
You’re fronting the boiler on your own account. Get the deposit written before you order it.
How do I take a deposit before I order the boiler?
Say the figure and it writes the deposit invoice with a pay-by-card link on it. You tap send, they tap and pay off their phone. It records against the job as a part payment, so the balance still reads as owing and nobody’s arguing about it on handover day. The job won’t show as paid until every invoice on it is settled, so a deposit can never quietly close it.
Can I invoice a big install in stages?
Yes. Mark the job part done and you get Invoice for work done; on a job you’ve already invoiced, Invoice next stage, and it works out the balance for you. The customer’s invoice page shows the job total, what’s been invoiced, what’s paid and what’s left, plus a line saying more will follow as the work goes on.
What about the pile of merchant receipts?
Snap them. It reads the merchant, pulls the gross, the VAT and the rate, and files it under Materials against the job you say. It’s tuned for the counters you actually use, so Wolseley, Screwfix, Travis Perkins and City Electrical Factors come out right. A week’s worth of glovebox takes about a minute.
October hits and I don’t come up for air. Will it keep the diary straight?
Book by voice and it goes in against the job with the address on it. If you’re double-booking, or you’ve given yourself twenty minutes to get across town, it tells you before it saves. The customer gets a booking confirmation and a reminder twenty-four hours before, both from your business name with replies coming to you.
What’s it cost, and is there an Android version?
£10 a month, one plan, everything switched on from day one. No tiers, no add-ons, no contract. Two weeks free and it doesn’t ask for a card. One boiler service covers you for the year. It’s on iPhone and Android, live on the App Store and Google Play.
One plan. The whole app.
